Summary/Objective
We are seeking a talented Events Coordinator to help create exceptional events that strengthen our brand presence and foster client relationships. In this role, you will assist the Event Manager in planning our in-person events, including corporate meetings, executive roundtables, trade shows, and other gatherings. You will also be team lead on all Callahan virtual executive roundtables.
The ideal candidate will possess a strong background in in-person event planning, virtual event planning and marketing with a proven track record of developing and executing unforgettable events that align with our company’s objectives.
As we continue to enhance our digital presence, we are looking for a meticulous and proactive Digital Content Coordinator to join our team and support the management and optimization of our websites.
Areas of Responsibility
- Collaborate with Event Manager to plan, coordinate, and execute a wide range of events, including trade shows, conferences, executive meetings, and corporate events.
- Set up and oversee all virtual executive roundtables and other virtual events/webinars as needed.
- Moderate and monitor virtual roundtables and webinars, assist users with technical difficulties and questions while taking detailed notes of sessions to share post-event.
- Assist in pre-event and post-event communications for both in-person and virtual events.
- Maintain and manage internal and external event calendars for the organization.
- Collaborate with the marketing team to promote events through various channels, including social media, email campaigns, and print materials.
- Work with cross-functional teams to ensure seamless event execution.
- Assist with on-site event production and cleanup as needed, with the ability to travel for work approximately one to four times per year.
- Organize and print event materials including name badges, table tents, agendas and attendee lists.
- Manage event shipments and logistics.
Travel
Minimal overnight travel is expected.
Required Experience
- One to five years of proven success in meeting planning or event coordination.
Preferred Education and Experience
- Associate degree in Hospitality/Hotel Management, Marketing/Communications or Business Management.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite with confidence in using Excel and performing mail merges.
- Experience with Zoom and other virtual meeting platforms.
- Ability to learn and use marketing and meeting efficiency tools and programs such as Salesforce, Cvent and Marketo.
- Detail-orientated with a demonstrated ability to organize and prioritize workload.
- Ability to work in a fast-paced environment and meet deadlines.
- Excellent communication skills, including writing, proofreading skills and speaking.
- Ability to manage multiple projects and work assignments at one time.
- Exceptional service ethic and high expectations for quality.
